Company Data Archive Scheduler: Scheduled your Archives in Advance

By Professional Advantage Tuesday, August 13, 2024

Purpose & Scope

The Company Archive Scheduler in CDA allows you to manage the archiving information efficiently by scheduling specific times for the process to start and pause. This feature is particularly useful for handling large data volumes, ensuring that archiving does not interfere with system performance during peak hours. The scheduler supports both fixed cutoff dates and rolling archives based on the "Years To Keep" configuration.

Key Features include:

  • Queue Scheduling: Start and pause archives at specified times during the week.
  • Pause/Resume Functionality: Efficiently manage large data sets without disrupting system performance.
  • Archiving Configuration: Choose between a fixed cutoff date or a rolling archive based on retention settings.
  • Enable/Disable Functionality: Temporarily disable scheduling to prevent notifications during maintenance.

Procedure

  1. Accessing the Scheduler Window
    1. Navigate to the Company Archive Scheduler window, usually found under the Administration>Utilities> System> Company Data Archive Schedule.
  2. Setting Up Archive Parameters
    1. Configuring the Destination and Originating Companies
      1. Destination Company:
        1. Ensure that the Destination Company displayed is set to your archive database where the archived data will be stored.
      2. Originating Company:
        1. Set the Originating Company to the company that contains the data you want to archive.
        2. Note: Once an Originating Company is selected, the lookup option for this field will be disabled. This ensures that the destination archive company is correctly paired with the originating company.
    2. Completing the Transfer Master Data Archive Process
      1. Before starting any scheduled archives, verify that the Transfer Master Data process is completed within the archive company.
      2. This process must be completed for each archive to ensure that the master data in the archive database is up-to-date.
      3. For subsequent archives, repeat the Transfer Master Data process if there have been changes or additions to master records since the last archive.
  3. Configuring the Archive Schedule
    1. Archive Types
      1. Fixed Cutoff Date:
        1. Select the Fixed option to set a specific cutoff date for archiving.

    2. Rolling ‘Years To Keep’:
      1. Choose the Rolling ‘Years To Keep’ option to configure archiving based on data retention requirements.
      2. Enter the number of years for which data should be retained.
      3. Specify the Day of the Month on which the archiving should be prompted.

        2. Enabled: Allows the scheduling to proceed as configured.
  4. Managing the Archiving Process
    1. Monitor Progress: Regularly check the Scheduler window to ensure that archiving is progressing as expected.
    2. Adjust Settings: Modify start and pause times if needed to better align with system usage and performance.

Additional Comments
Troubleshooting

  • Archiving Not Starting: Ensure that the Scheduler settings are correctly configured, and that the system time aligns with the start time.
  • Unexpected Pauses: Investigate for any system conflicts or issues affecting the pause functionality. Verify that the pause time is correctly set.

Best Practices

  • Schedule During Off-Peak Hours: Configure archiving to occur during low usage periods to minimize user impact.
  • Regularly Review Settings: Update and review Scheduler settings regularly and ensure the Transfer Master Data process is complete before archiving.
  • Backup should be made of both the Live company and the Archive company.
